VoIP (Voice over Internet Protocol) phone systems can be mystifying to many people. A "system" is by definition a group of items forming a unified whole. VoIP PBX phone systems vary greatly in their features, capabilities, size, form factor, telephone carrier service connectivity, cabling, connected phone sets, etc. Although VoIP technology has evolved greatly over the past decade, such fundamentals of IP PBX systems as how they operate and what they require to perform reliably has not changed. That is the focus of this paper.
For starters, a common misconception is that VoIP means that phone calls are carried primarily over the Internet. Although that capability exists, the "Internet" as used in "Internet Protocol" has nothing to do with the World Wide Web. It really should be spelled "inter-net" -- between networks.   And, a definition for "protocol" is that it is just a technology rule or standard, in this case for enabling the transport of voice data packets over a network. That network can be a local area network (LAN) that is within a building, a wide area network (WAN), and yes, the Internet itself.
If using the Internet, connectivity to the IP PBX is achieved through SIP (Session Initiated Protocol) trunks (lines) and the communications are managed by an Internet Service Provider (ITSP), the equivalent of the "phone company".  SIP represents another industry standard protocol, and the trunks can be a broadband T1 circuit, DSL, Cable Modem, etc.). If one uses SIP trunks, does it then preclude standard connectivity to the public switched telephone network (PSTN) using analog trunks and/or a Primary Rate Interface (PRI) circuit? No. All can coexist on the PBX opening up a new world of communications capabilities and savings including remote worker communications, inter-office system integration, least cost routing of phone calls including international calling, unified communications, effective "find me" routing of calls, lower line costs, etc.
As a result, Zultys' MX line of IP PBX systems allows our customers to be able to use a variety of trunks in the most effective way. For example, a company might use PSTN trunks for most of its inbound or local outbound calls while using SIP trunks for lower-cost long distance calls. In fact, that company may use two or more ITSPs on SIP trunks. One for domestic long distance calls, one for international calls and several that have a low rate for calls to a specific country. Moreover, the Zultys MX automatically manages these least cost routings greatly reducing communications costs. IN MANY CASES, THESE SAVINGS ARE SUFFICIENT TO PAY FOR THE PHONE SYSTEM ENTIRELY!
OK. However, can you depend on SIP Trunking for providing business-level communications?
Yes. IF it is done correctly!
Briefly, the way VoIP works is that voice energy at the phone is converted to packets of digitized voice data that are transmitted over data networks and then reconverted at the destination. Each SIP conversation typically requires 84Kilobit of network bandwidth. (The use of voice compression algorithms can reduce this need.)

So, here is how to roll out CORRECTLY a VoIP phone system in your Enterprise:
1)      Decide if your voice network and data network should be converged onto one network or if it would be better to keep them separate.
2)      If converging the two onto one network, perform a DETAILED network analysis. Will it be able to have adequate bandwidth, can it provide for a guaranteed quality of service (QoS), is your firewall VoIP-friendly, etc? An analysis by a qualified, outside firm often is a worthy investment.
3)      Ensure that your network is cabled properly for the phone sets (CAT 5e is the minimum today and CAT 6 is quickly becoming the de facto cabling standard with video communications a growing requirement. Test your cable structure. Are any cables pinched or noisy? Be sure that none of your cables exceeds 100 Meters in length.
4)      NEVER daisy chain switches (switch to switch) - this piggybacking causes major slowdowns of network traffic, affects QoS and can cause unpredictable results.
5)      Remove all network hubs.
6)      Use single, layer 3. QoS, power over Ethernet (PoE) Switches.
7)      Use enterprise-level antivirus software on all servers and client PCs.
8)      Ensure that you have running a business class, server-based spam filter appliance or a hosted spam filtering solution. Hosted anti-spam systems have the advantage of filtering the spam before it enters into your network.
9)      Monitor which users are abusing your network bandwidth e.g. are users running applications for downloading music or streaming video or audio all day?
10) Require DEDICATED BANDWIDTH for your SIP trunks. Some providers also allocate additional bandwidth dynamically when required, giving priority to voice traffic.
11) Ensure that QoS routers are used end to end - meaning the provider has a QoS router(s) on its end, as well.
The investment in this structure provides for a high ROI by having optimal and reliable corporate voice and data communications.
Now, let us look at the requirements you need for your single office, home office and traveling staff to connect to your phone system. Each one needs a SIP phone (or SIP Softphone) and access to a broadband connection, of course.
Most likely this broadband connection is a consumer grade DSL or cable modem service that provides asymmetrical upload/download bandwidths, Additionally, the actual bandwidth available can vary widely depending on the number of other subscribers of the provider that are using this shared network at any particular point in time and how they are using it.

To best minimize connectivity problems with remote workers:
1)      Have the worker test that Internet service provider's speed by having running any of the free test tools available on the Internet. Insist that they have the ISP correct a problem. (A service speed upgrade for the service may be needed.)
2)      Have them use a modern, quality router/firewall that includes QoS functionality
3)      Ensure that everyone on their network is running quality malware-prevention software on all PCs and that all PCs are current with the latest security updates.
4)      Finally, the PBX must be programmed to route 911 calls received from the remote worker's phone to the proper, local 911 location for that worker.
With these preparations, you will end up with a powerful, reliable, excellent communications system.
And, excellent phone communications is the hallmark of successful companies.

In this economy, for technology to get traction, it must either MAKE the client money or SAVE the client money, as well as improve efficiencies and shorten processes.

You must have these for EVERY location where the client is considering a phone system change.
 
Finding efficiencies through the Model is not hard, provided you have the right DATA. That data is found on these bills.
 
  1. When setting an appointment with a prospect - let them know that if Technology cannot SAVE them money or MAKE them money as well as make them very efficient, that they should not even consider the system. If it does not make $$, it does not make sense.
 
  1. The most important factor in showing a Return on Investment is to obtain PRIOR to your first visit a copy of ALL Phone Bills from ALL locations (if applicable) as well as all Internet, all Local and Long Distance and all Cell Phone Bills. Be prepared to provide the prospect with a list of needed items.
 
  1. Understand exactly how LEASING works and the factors and MEMORIZE THEM. Know that on a 5 year lease the lease rates will be about $23 Per One Thousand on a 5 year lease and $35 per One Thousand on a 3 year lease. So if the reseller is selling a 10K system on a 5 year lease, it is not unusual to see the monthly payments be around $230 per month. Develop a great relationship with your local leasing company

 
ROI Methods:
 
  1. Conversion of Analog trunks to a PRI:
This will vary from market to market. But essentially, here is the principle behind this ROI. A standard analog trunk (aka POTS) can run you between $23 and $40 per line (depending on the market you are in). A PRI can run between $300 and $450 (again depending on the market you are in). This means the financial breakpoint at which the customer can save money with a PRI is 12 Analog Trunks converted to PRI
 
Numerical Example:
 
Metrics and Example:
  • Client has 17 phone lines.
  • They are paying $35 per phone line or $595.
  • Suggest a PRI for $350 Per Month.
  • The savings here are $245 Per month.
  • That's enough to buy an $11,000 Zultys system (about) AND give the client 23 Phone lines (assuming a 5 year lease with a 1 dollar buyout)
  • In essence - you did not raise their payments, yet you gave them a great system at 0 additional money than they are currently paying.
  • If the system comes out to less, you can give them the new system AND they can save money !
  • Mr. Customer, could we install a Zultys phone system and get you 6 more additional phone lines for nothing ?
 
 
2.     Long Distance:

Metrics and Example:
  • Client has a $1000 long distance phone bill.
  • You want to sell them a Zultys System for $20,000
  • On a 5 year lease to own with a 1 dollar buyout, that lease would be around $460.00 Per Month
  • In order to offset the $460, purchase 3 trunks for around $90 per month
  • That would bring the monthly payments to $460 (for the lease of the equipment) + $90 for the SIP Trunks or $550, a savings of $450 per month*

VoIP phone systems today vary greatly in features, size, type of phone lines they can operate with, wiring they use, and phones (stations) that they use. Voice Over Internet Protocol (VoIP) has evolved greatly in the past decade. One thing that has not changed however are the fundamentals of VoIP Systems, how they operate, and what they need in order for them to work reliably.
 
For starters, many VoIP Phone systems (PBX) do not rely solely on VoIP phone lines. What re VoIP Phone Lines ? While there are proprietary VoIP lines, in general, what is used today is called SIP (Session Initiated Protocol). VoIP/SIP is simply the ability to carry your voice conversations over a data trunk (such as a data T1, Cable Modem, DSL, etc...). It is very unusual today to see VoIP phone systems only accepting SIP/VoIP Trunks (a trunk is a phone line). In fact, the vast majority of VoIP Phone systems today continue to operate on standard Analog Trunks (the same type of lines that you have in your house) and/or PRI (Primary Rate Interface) which is carrier grade 23 phone lines. Why would a VoIP Phone system connect to Analog Trunks or PRI ? There could be many reasons for that. For one, clients may already have existing contracts on those trunks and they cannot change. The other reason is that they are comfortable in that technology and it has served them well. So why and when do SIP / VoIP trunks come to play ?
 
SIP trunks are now sold for as low as $5 per month per Trunk (+utilization) to $40 per trunk ("all you can eat") which includes an unlimited Long Distance Plan (in the US typically) and Overseas rates extremely compelling (i.e. 1.1 cents per minute to some Western European countries). Some phone systems (i.e. ZULTYS) allow you to have a variety of trunks and use them in the most appropriate way. For example, a company might still like to connect using Analog Trunks for most of their inbound or outbound calls (or a PRI or two), except when placing Long Distance calls. LD calls in this case, would exit/use the SIP trunk, therefore saving the consumer long distance fees, and arriving to a more predictable monthly fee. This is called LEAST COST ROUTING. This can vastly decrease cost of operations (often to the point where the phone system can pay for itself in a very short amount of time, depending on the long distance the company normally uses.

 
So what about SIP/ VoIP ? Is it dependable ? How does it sound?
There is a right way and a wrong way to deploy SIP and unfortunately, most of the time, consumers are unclear about the choices they have or what to do and are unfamiliar with technologies that are available to them. Here is what to keep in mind. Each SIP conversation requires about 84Kb (Kilobit) in data to function correctly (without compression). Compression can sometimes be used or turned on to reduce the voice/data utilization and optimize networks, but the more you compress the sound, the worse it sounds. Different vendors have developed different compression techniques to get the most out of your bandwidth. One thing for sure, IN VoIP, YOU GET WHAT YOU PAY FOR !!!! Different providers might give you different SLAs (Service Level Agreements). Be sure to read them and understand your terms and conditions.
 
 
Here is how to roll out VoIP in your Enterprise CORRECTLY:
1.      Site Survey and analyze your Network/Infrastructure professionally by someone who can not only provide the results but EXPLAIN THEM and make CORRECTIVE ACTIONS. Explain to the analyst that you will be installing a VoIP capable system and that you want to make sure your Network is optimized and ready for VoIP and to provide a STATEMENT at the end guarantying their work.
2.      Insist on GOOD quality switches. There IS a difference between a $200 switch and a $2000 switch. You are looking for QoS switches where voice can be prioritized over data. Layer 3 Switches can provide additional functionalities (that you may need) such as routing and much more.
3.      Just because you bought the right switches does not mean that they are setup correctly. A Network Engineer that knows what he/she is doing must setup the QoS correctly on the switches.
4.      Insure that your Network is cabled properly (CAT 5e is the minimum today and moving forward, CAT 6 is quickly becoming the de facto standard today). In fact, going forward, when adding cables, insist on CAT6. There is about a 30% up lift in the pricing, but it is well worth the price. Audit your cables. Are they pinched? Is the plastic insulation sticking out of the RJ45 connector (if so, that is a bad cable, and it would need to be re-crimped or replaced). Insist on a PATCH PANEL. Also, be sure that NONE of your cables exceed 100 Meters in length.
5.      NEVER EVER daisy chain switches (switch to switch, etc...) - this causes major slow downs on the Network and may cause unpredictable results. If you have 24 stations on your Network (including all Networked Printers, Servers, and any other device that uses Ethernet) then buy a single 24 port layer 3 QoS PoE Switch and have all your cable drops home run to that 1 switch. If you have more than 24 Ethernet devices, then you will need to purchase a 48 port. Anything larger than 48 port and you will need to uplink the switches using fiber preferably or buy a core switch. Port Trunking 2 switches is a recipe for lag and failure. If you can afford Gigabit switches, GET THEM !
6.      Get rid of ALL Hubs if you have them.
7.      Insure that you have a business class Server based Anti-Virus running on every PC and every Server (NOT a consumer grade or Freeware) - These will vary from $20 to $40 per license per year.
8.      Insure that you have a business class Server based Spam Filter (or appliance such as Barracuda or Hosted solution such as Red Condor or Postini) is running. I personally prefer hosted Anti-Spam systems because the spam is filtered BEFORE it enters your Network (as opposed to an appliance base). Also with hosted systems, there is nothing to install on your servers or workstations and you do not have to worry about updating hardware/software or keeping anything up. Your Anti-Spam is GONE BEFORE it hits your Network, saving your bandwidth for more important things (like VoIP).
9.      Insure you understand what applications and users are consuming or abusing your Network (such as the Cymphonix appliance). Would you know it if a user is running a Peer to Peer application (downloading illegal music, inappropriate content, etc...) or streaming Video or Audio all day (Radio, etc...) ?
10. Insist on DEDICATED BANDWIDTH FOR YOUR SIP TRUNKS - shared bandwidth (BYOB - bring your own bandwidth) IS A RECIPE FOR FAILURE NO MATTER WHAT THE PROVIDER TELLS YOU.
11. Insist on QoS Routers end to end - meaning the provider has a QoS router(s) on their end.
12. It is NOT enough to put a QoS Router on your end, because if that is only what you do, you would have NO control over that packet when it leaves your Network (how do you QoS the Internet ????)
 
You would think that all of the above would cost a fortune. But in reality , they do not. These are BASIC items that ANY good network infrastructure today SHOULD have. Whether you use VoIP or not.
 
The Top 2 mistakes that we see CONSISTENTLY with consumers that have problems with their VoIP trunks are: BYOB (Bring your own Bandwidth) - where the provider promises great service over your existing DSL, T1 or Cable. What happens if someone on your Network starts to Email a large file ? Or is infected by a virus/Trojan ? Again, insist on dedicating the proper bandwidth to your SIP trunks and if you can separate them from your data, QoS the Network and QoS the Router end to end (to your Provider)
 
 
Now - let's talk about the Tele-worker (Remote workers that need to connect to the VoIP System at the office). By distributing its work force nationwide, companies are far less seriously impacted by regional weather conditions, and can secure better ongoing coverage and support for their customer base

 
 
While bandwidth in the US has seriously improved in the past few years, internet in homes (or businesses) using Cable and DSL are UNPREDICTABLE at best. Some services SHARE your bandwidth with the rest of the consumers/businesses on the block. Some have good download speeds but horrible upload speeds. Remember that you need 84KB per conversation no matter what. So what happens when you are talking on the phone and sending out Emails ? The sound packet might get distorted. How do you improve on it? There is a reason why a T1 costs around $400 per month and Cable or DSL costs typically under $100 per month. T1 speeds give you a consistent 1.5 Megabits upload and download speeds (Symmetrical). Whereas Cable and DSL can be as low as 384Kb in some markets in upload speeds. And sometimes, upload speed is not just the only problem. Sometimes there is a LAG on the line (as it is the case with some Satellite providers). Wireless (802.11x) can also present a challenge for VoIP Consumers. So, for the Tele-worker, the best way to minimize (not eliminate) problems are:
 
1.      Use a good quality Internet service provider.
2.      Test the UPLOAD SPEED (there are many testing facilities on the Internet - just do a search on test my internet speed) - the higher that speeds, the better off you will be. Look for 1 meg of upload speeds to get a clear conversation
3.      Refrain from UPLOADING files or sending Emails while on the line (if you can)
4.      Use a good quality router/Firewall, purchased recently and updated with the latest firmware and enable QoS
5.      Use Gigabit Ethernet in your house if you can (4 port Gig switches now are well under $100) - especially if you will be using a soft phone (otherwise, most phones are still 100 Megabits)
6.      Be sure you use a good quality business class Antivirus (such as Norton Antivirus 2009) and NOT a freeware and insure you have it running on EVERY workstation in your house
7.      Insure your PCs are up to date, and have the latest patches (even if you will be using an IP Phone, that is still a good idea
 
IP Telephony has improved significantly in the past few years and R&D continues to develop new methods of minimizing problems. But consider also a failover mechanism. If your Internet fails at your house and that is your only phone, how will you place calls ? Be sure your mobile phone is available to you. Also, insure that your IP Phone is registering 911 calls to your HOUSE not to the office. (If you are connected to the office PBX and you dial 911 - you are essentially using one of the TRUNKS from your office - so the 911 truck will come to the office NOT to your house - unless there is a way for that PBX to indicate differently ). Be prepared for VoIP, and prepare your Network. At the end of the day, you will find that these steps outlined above will provide not only a more pleasurable VoIP experience, but also a better and more reliable and predictable DATA experience. Reliable networks, are no longer a luxury items. Businesses DEPEND on the Network. Spend the time and the money to improve your infrastructure, use a Managed IT Service provider that uses monitoring (such as Kaseya, or Level Platform or others similar to that) to look at your Network 24x7 and provide proactive steps to improve it.

To state that IP telephony is becoming increasingly ubiquitous is a mathematical certainty. Companies need to leverage their existing infrastructure, do more with less, be more efficient. Prices on assets and goods are becoming commodities in some cases and margins can no longer be any tighter. What differentiates the level of success of one company over another is proportional to the level of CUSTOMER SERVICE that they render to each client, one transaction at a time, one customer at a time. This need must happen without significantly increasing costs of Human Resources, equipment or hardware to maintain high level of customer satisfaction, and raise the level of customer service which increases attachment and stickiness to the company's goods and services. Delivering a sublime customer EXPERIENCE can eclipse the argument of price and restore margins, all while creating clients instead of customers that become ambassadors to the company's goods and services. In essence, connecting with clients on a timely basis to deliver a better buying and servicing experience, is no longer a luxury, it is a hard necessity, it is a distinguishing differentiator, and if one is to maintain market dominance and increase their market share and margins, is becoming a significant method for gaining clients.

 

Servicing more clients with less, often depends on technology to be installed. Technology such as inbound call center and ACD. The ability to record conversations for training purposes so as to improve the customer service experience (and retain and archive these calls for compliance and reduction of litigation purposes), the ability to work from ANYWHERE, ANYTIME, without the need to install complex networks, VPNs or other sophisticated and pricey, viewing detailed reports on who called, when, where, how, etc... and what your people are doing has a direct impact on the bottom line. But these features are minimal when you consider the total array of features that can be had on today's modern IP phone systems.

You could make a business case out of EACH of these features, such as the ability to take your phone home at anytime (without the need for a VPN) and plug it in and respond to any situation, even be a part of the call center. Collaborative work is no longer a word, it is a VALUE.

Our Zultys Linux based MX Platform starts at prices ranging from 10 to 30% below the competition. But when you consider the TRUE COST OF ADDING SERVERS that delta significantly increases and the VALUE of the Zultys platform significantly increases while theirs decreases.


 

So when considering an IP system, shop carefully. Understand ALL the features. Ask questions like HOW MANY FILE SERVERS am I going to have to ADD to make this system work. Understand not just the immediate PRICE but rather the TOTAL COST OF OWNERSHIP of the system you are considering. If each function must add a server - consider the price of EACH server that you add:

1.       Server ($1000 to $3000)

2.       Drives (hundreds to thousands per array)

3.       RAM (hundreds of $)

4.       Windows 2003 or 2008 Server ($799 for Windows 2003 Server - more for 2008)

5.       Client Access Licenses (CALs) for Windows 2008 Server ($30 per CAL for 2003 - more for 2008)

6.       UPS for Server(s)

7.       Cost for IT or IT Provider to install and configure Server

8.       Cost for IT to MAINTAIN Server(s)

9.       Don't forget to install your Patches every Tuesday (Microsoft's Tuesday Patch Day)

10.   Don't forget to REBOOT THE SERVERS ON TUESDAY ! (Phone down ?? ? VM Down ? What goes down ?) 99.999% reliability claimed by some vendors? I will challenge that !

11.   Price for Electrical circuits forever after for EACH Server (Servers can consume as much as 700 Watts of power- and when you include cards, that can easily escalate from here)
